Job Description
The Travel Coordinator position will focus on managing complex and time-sensitive travel logistics for the Guest Entertainment and Casting & Booking departments. With a meticulous and adaptable approach, the coordinator plays a crucial role in ensuring the smooth movement of over 400+ guest entertainers and 3500+ Shipboard Entertainment Team Members. Responsibilities include sourcing, organizing, booking, and tracking travel requests, handling various travel-related activities, and ensuring proper documentation. The role involves collaboration with other coordinators and supervisors, supporting the larger team, and managing administrative duties.
Essential Functions:
- Primarily working with Guest Entertainment team to arrange flights, hotels, research travel options, all other travel-related activities and transfers for 400+ guest entertainers across the fleet which involves 150+ movements a week while also ensuring fleet itineraries match guest entertainment booking system while tracking all expenses.
- Assist Casting and Booking teams to arrange flights, hotels, research travel options, and all other travel-related activities and transfers for 3500+ shipboard entertainment team members across the fleet and our land-based studio which involves 500+ movements a week, while tracking all expenses.
- Work directly with new hires and returning team members to review and process all onboarding paperwork (applications, medicals, background checks, visas etc.) to ensure successful completion of required tasks.
- Partner with Carnival Studios to resolve travel interruptions (evening/weekends). Liaise/communicate with Team Members, Carnival Studio Managers, and Crew Travel to coordinate/rebook travel to rectify disruptions for incoming/outgoing TM’s
- Update fleet contract schedule, enter gig assignments in booking tool (Airtable), and input individual movement in Crew Personnel System (CPS).
- Provide coverage for Casting & Booking and Guest Entertainment Coordinators while they are out of the office.
- Coordinate and communicate with team members, ships, agents, and other departments via email and phone with time-sensitive information such as ad hoc visa requests, same-day flight changes, last-minute cancellations, etc.
Qualifications:
- Associate’s Degree – Entertainment, Talent Recruiting, Travel and Tourism, Hospitality, Required
- 2+ years – In an administrative support capacity, preferably in the entertainment, cruise, (travel) or HR industry, Required
- 2+ years – Cruise Line, Theme Park, Talent or Travel Agency experience, Preferred
Knowledge, Skills, and Abilities:
- Microsoft Office, Outlook, Word, Excel, and PowerPoint. Airtable, ROSE, Accurate, MarkView, CPS, iProc and talent booking tools a plus
- Knowledge of commonly used concepts, practices, and procedures within the travel field.
- Demonstrated experience in booking high-volume travel requests.
- Organization skills: ability to set priorities and meet challenging deadlines.
- Strong verbal and written communication skills.
- Able to interact professionally with others and address concerns accordingly.
- Excellent written communication and presentation skills.
- Ability to explain “how to” efficiently and effectively.

Work Conditions: Work primarily in a climate-controlled environment with minimal safety/health hazard potential. May be requested to work a different shift. Other job specific working conditions. Remote position that will require to work Eastern Standard Time two weekdays and Friday from 12 pm – 8 pm as well as Saturday and Sunday from 8 am – 4 pm to ensure proper coverage for Evening, Weekend and Emergency Travel
The range for this role’s hourly rate is $18.00 – $21.00. Offers to the selected candidates will be made on a fair and equitable basis, taking into account specific job-related skills and experience.
